How to manage the registration process
To see all of the registrations that have come in, go to Manage > Activity > Orders. You'll be presented with a variety of different ways to search for your transactions (the default is the transactions for the past seven days). For additional filters, select the "more filters" link next to the "Reset" button. One of the available filters here is "Source." The Source tells where the transaction came from ("Registration Request" means the parent clicked on "Pay Later" during the registration process).
After selecting search criteria, click on the "Go" button to get a listing. Here is an example of what you'll see:
In the grid shown above, each registration order has a created date, name, registered class, alternate class, registrant, amount, source and order status.
For more registration detail, select "View" from the dropdown list (or click on the order ID). You will see a
two-tabbed page with registration details. Click on the "Linked Activity" tab
to see the class registrations on the order.
For the registrations shown on Linked Activities, each registration can have one of many different statuses, explained below:
- Confirmed—A "Pay Now" registration in which payment has been
completed via PayPal or Authorize.net. This status is also used when a
"Request" has been marked as Confirmed when the parent paid. In either
case, a seat has been taken in the class listed.
- Pending—A "Pay Later" registration where payment has not yet
been received. This is a request for a seat in a class, without payment.
No seat has been taken. Later, you can come in and change this status
to Confirmed, which will occupy the seat in the class listed.
- Incomplete—After creating a registration and clicking "Pay
Now," the parent didn't complete the transaction via PayPal. They may
have backed up or abandoned the page.
- Cancelled—After creating a registration and clicking "Pay Now," the parent hit the "Cancel" button after going into PayPal.
If a parent creates a registration (fills out the registration form),
but does not click either the "Pay Now" or "Pay Later" button, the
transaction isn't reported on your Online Registration report.
Occasionally, it may be possible for a parent to confuse the PayPal
system by going through different options, hitting the back button, then
trying to complete their transaction. So it is possible for a
transaction that goes through in PayPal to NOT listed in your Online
Registration report.
If a parent paid for a particular class, but then needs to be moved
to another class, just click the Move link in the Action column. You'll
be prompted for the new Class information. After you confirm the move,
the seat the student was occupying in their old Class will be freed up,
and the seat in their new Class will be taken.
If you need to remove a registration, on the Original Order tab, select the "Delete Order" button at the bottom right of the page. Once this is confirmed, any seats that were
reserved for the deleted registration will be freed up for others.
